How to inventory your card collection

Whether you collect sports cards or trading card games, an inventory answers three questions: what do you own, what did it cost, and what is it worth now? Here's a practical way to build one without typing in every card by hand.

Start with what you can capture automatically

Most of what you buy already arrives in your inbox as an order confirmation. A tool that reads those receipts can pull in the card, price, fees, and date for you — so your recent purchases are logged without manual entry. This won't cover your entire collection (only what shows up in email), but for active buyers it captures a large share of it with little effort. Bring in older cards with a spreadsheet import

For cards you bought before you started tracking — or from places without useful emails — a spreadsheet (CSV) import is the fastest way to load them in bulk. Export what you already have, map the columns once, and the rest of your back catalog is in. A good tool will then help you merge duplicates where an email and a spreadsheet row describe the same card.

Fill the gaps by hand

A handful of cards will always need manual entry — a trade, a card-show pickup, a gift. Adding those individually is quick when it's the exception rather than the rule.

What a complete card inventory should capture

• Card details: player or character, set, year, number, grade, serial, parallel/rarity
• Cost basis: the item price plus a fair share of shipping, fees, and tax
• Category: sports vs. TCG (so you can filter and value each side)
• Where it physically lives: which box, binder, or bin
• Sales: sale price, fees, and realized profit when a card sells
• Exportable records for tax time

A simple workflow

1. Connect your inbox and import recent purchases.
2. Upload a CSV of everything older, then review and merge duplicates.
3. Add the occasional off-market card by hand.
4. From then on, new purchases mostly log themselves.
